How CoachGrind collects, uses, stores, and shares information when coaches use the site, play designer, play library, FieldVision, and AI tools.

These pages are written for transparency and product use. They may be supplemented by a signed order form, data processing agreement, or other written agreement with your organization.

What this policy covers

This Privacy Policy applies to CoachGrind websites, apps, APIs, play design tools, playbook tools, FieldVision tools, AI features, and related services.

CoachGrind is built for coaches and football programs. We treat play content, install notes, scout notes, uploaded diagrams, and program information as customer content.

Information we collect

  • Account information, such as name, email address, organization, role, and authentication details.
  • Program content, such as plays, formations, routes, assignments, playbooks, install plans, practice scripts, call sheets, uploaded diagrams, notes, tags, and metadata.
  • AI interaction data, such as prompts, selected play context, generated plays, generated coaching notes, diagram extraction requests, edits, ratings, and troubleshooting logs.
  • Usage and device information, such as pages visited, feature use, browser type, IP address, approximate location from IP, timestamps, diagnostic logs, and performance data.
  • Support and communication data, such as messages you send to us, feedback, demo requests, and contact preferences.
  • Payment or subscription information if paid plans are enabled. Payment details may be handled by a payment processor rather than stored directly by CoachGrind.

How we use information

  • Provide the app, authenticate users, save plays, render playbooks, run FieldVision, export files, and sync library content.
  • Power AI features that draft plays, edit plays, generate coaching notes, extract plays from diagrams, classify play metadata, and answer football workflow questions.
  • Improve reliability, security, usability, football terminology, formation alignment, route geometry, and product performance.
  • Provide support, respond to questions, debug issues, and communicate product updates.
  • Protect CoachGrind, users, programs, and the service from abuse, fraud, security incidents, and policy violations.
  • Comply with legal obligations and enforce agreements.

How AI providers may process content

Some CoachGrind features send selected prompts, play context, diagrams, or metadata to AI service providers so the feature can return a useful result. Examples include generating a play, repairing play geometry, writing coaching notes, extracting a play from a diagram, or answering an AI Coach question.

We do not sell your play content. We also do not knowingly use private customer play content to train public AI models. AI providers may process requests as service providers under their own enterprise or API data terms.

AI output can be incomplete, inaccurate, or inappropriate for a specific age group, scheme, rule set, or safety situation. Coaches remain responsible for reviewing and approving all AI output before using it with players or staff.

How we share information

  • With service providers that help operate CoachGrind, including hosting, database, authentication, analytics, email, support, payment, AI, logging, and security providers.
  • With users in your organization or workspace when you choose to create, share, save, publish, or collaborate on content.
  • With legal, safety, or compliance parties when needed to comply with law, enforce terms, protect rights, investigate abuse, or respond to valid legal process.
  • With a buyer, successor, or affiliate if CoachGrind is involved in a merger, acquisition, financing, reorganization, or sale of assets.
  • With your direction or consent.

Cookies and local storage

CoachGrind uses cookies, local storage, and similar technologies for sign-in, security, saved preferences, performance, analytics, and product functionality. See the Cookie Policy for more detail.

Retention

We keep account data, play content, AI logs, support records, and usage records as long as needed to provide the service, improve the product, meet legal obligations, resolve disputes, and enforce agreements. You can request deletion of your account or content by contacting privacy@coachgrind.com.

Security

We use administrative, technical, and organizational safeguards designed to protect customer content. No online service can guarantee perfect security. If you believe you found a security issue, contact security@coachgrind.com.

Children and student information

CoachGrind is intended for coaches, staff, administrators, and authorized users. It is not intended for direct use by children under 13. Coaches and programs are responsible for deciding what player information they enter and for obtaining any required permissions from parents, guardians, schools, or governing bodies.

Your choices and rights

  • You can update account information through the account tools available in the app.
  • You can export many play artifacts to PDF, SVG, PNG, or other available formats.
  • You can request access, correction, deletion, or a copy of personal information by contacting privacy@coachgrind.com.
  • You can opt out of non-essential marketing emails by using the unsubscribe link or contacting support@coachgrind.com.
  • Depending on your location, you may have additional privacy rights under applicable law.

Changes to this policy

We may update this policy as the product, laws, or business needs change. If a change is material, we will take reasonable steps to notify users through the site, app, email, or another appropriate channel.
